What trucking and logistics software development includes, and what it does not
A fixed-scope quote only works when both sides agree on the edges. This is the usual split for this service; your quote states your own.
Included
- Order intake from web forms, email parsing, EDI or customer APIs
- Dispatch board with assignment, status per stop and exceptions
- Driver app with stop list, navigation handoff, photos, signatures and an offline queue
- Customer tracking links and a portal with documents, invoices and reporting
- Rating and invoicing: zones, weight breaks, accessorials and fuel surcharges, exported to accounting
- Telematics and ELD data read into the dispatch view for location and hours
Not included (or quoted separately)
- ELD compliance logging; a certified device and provider handles it, we read its data
- Replacing a TMS that already fits standard freight; we integrate instead
- Customs brokerage systems; we prepare the data your broker needs
- Route optimization across many vehicles, unless quoted as its own phase
- Load board contracts and carrier onboarding services
How a trucking and logistics software project runs
- 1
Discovery
We ride along with dispatch for a day: how orders arrive, how drivers are chosen, what goes wrong at delivery, how invoices are built. Customer formats and telematics access are listed.
- 2
Written quote
Fixed scope for the first release, usually intake, dispatch and the driver app, with the customer portal and rating as later phases.
- 3
Design
The driver app is designed with drivers: big buttons, few steps, works with no signal. Dispatch screens are tested with your busiest hour in mind.
- 4
Build and integrate
Dispatch, driver app, tracking and telematics reads built and tested with a few trucks on real routes.
- 5
Rollout
One terminal or a few drivers first, then the fleet. Dispatchers get a one-page guide and a fallback plan.
- 6
Support
Monitoring, device updates, customer format changes and new terminals.
What you receive
- Source code, app store listings and infrastructure in your accounts
- Dispatch board, driver app, customer portal and rating engine deployed with monitoring
- Integration documentation for telematics, accounting and customer feeds
- Rating rule table as configurable settings
- Reports: on-time performance, stops per driver, revenue per lane, exceptions
Technology choices and when each fits
| Choice | When it fits |
|---|---|
| Cross-platform driver app with offline queue | Every fleet. Proof of delivery must work in loading docks and rural areas. |
| Web dispatch board | Dispatchers on large screens with live updates. |
| Telematics and ELD API reads | When your provider exposes location and status. Certified devices keep doing compliance. |
| EDI or API order intake | Customers who send orders from their ERP; removes re-typing and errors. |
| Routing service | ETAs and stop sequencing per vehicle. Full multi-vehicle optimization is a later phase. |
What drives the cost
We do not publish prices for this service because these factors move the number more than anything else. You get a written, fixed-scope quote after discovery.
- Offline reliability in the driver app
- Number of integrations: telematics, TMS, customer EDI, accounting
- Rating rule complexity and invoice formats
- Customer portal with logins and documents
- Route optimization scope
- Cross-border documents and customs data
Typical timelines
Ranges for the scope described on this page, not a promise for yours. The last column is what pushes a project to either end.
| Phase | Range | What moves it |
|---|---|---|
| Discovery and workflow mapping | 1 to 3 weeks | Job types and customer formats |
| First release: intake, dispatch, driver app | 10 to 16 weeks | Offline scope and integration count |
| Portal, rating, reporting | 4 to 8 weeks per phase | Pricing rules and customer demands |
Risks we plan for
- Driver app failing with no signal; offline queues and sync are tested on real routes before rollout
- Exceptions not modelled (refusals, damages, partial loads); discovery captures them and the app has a path for each
- Driver location tracking without notice; tracking is limited to working hours and drivers are told what is collected
- Telematics provider API changes; integrations are isolated and monitored
- Rating rules disagreeing with old invoices; we run a month of historical loads through the new engine and compare
Questions about trucking and logistics software development
Can you connect to our telematics or ELD provider?
Usually yes. Most providers offer APIs for vehicle location and status. We pull that into dispatch so you have one screen, while the certified device keeps doing hours-of-service logging.
Does the driver app work offline?
Yes, when designed for it from the start. Stops, photos and signatures store on the phone and send when the signal returns. It is a major cost driver, so we scope it carefully.
Should we buy a TMS or build?
If your freight is standard, a TMS is faster and we will say so. Build when jobs, pricing or customer requirements do not fit, or when the driver app and customer portal are the weak points of the TMS.
Can you build fleet management software for maintenance and costs?
Yes. Vehicle records, inspections, maintenance schedules, fuel and cost per kilometre are common scope, usually as a phase after dispatch. See our fleet management software guide.
