What construction management software development includes, and what it does not
A fixed-scope quote only works when both sides agree on the edges. This is the usual split for this service; your quote states your own.
Included
- Field app for daily logs, photos, issues and safety forms that works without signal
- Change order flow with pricing, client approval and e-signature
- Client portal with schedule milestones, photos, documents and approvals
- Subcontractor portal with document expiry tracking and gating before site access
- Job cost summaries pulled from your estimating or accounting platform
- Office dashboard of every active project: late tasks, open issues, unapproved changes
Not included (or quoted separately)
- Estimating and job cost accounting; we connect to the tools you already use
- Full CPM scheduling with resource levelling, unless quoted as its own phase
- BIM and drawing authoring tools; we store and version drawings, we do not create them
- Safety program design; we build the forms and records your safety advisor specifies
- Rugged device procurement, though we recommend what works
How a construction management software project runs
- 1
Discovery
We shadow one project from estimate to closeout: who records what, where it goes, and where it gets lost. We collect your current forms and change order template.
- 2
Written quote
Fixed scope for the first release, usually the field app plus change orders and the client portal, with later phases listed.
- 3
Design
Field screens are designed for gloves, sun and poor signal: few fields, big targets, photo-first. Superintendents review before we build.
- 4
Build and integrate
Offline sync, change order flow and accounting integration are built and tested with a pilot crew on a live job.
- 5
Rollout
One crew, then all crews. A short video per role replaces a manual nobody reads.
- 6
Support
Monitoring, updates for device OS changes, and additions as your process changes.
What you receive
- Source code, app store listings in your accounts, and infrastructure configuration
- Field app for iOS and Android, client and subcontractor portals, office dashboard
- Integration documentation for estimating, accounting and storage systems
- Role-based training videos for crews, superintendents, office and clients
- Data export so your records are never locked in
Technology choices and when each fits
| Choice | When it fits |
|---|---|
| Cross-platform mobile app with offline storage | The standard for field apps: one codebase, both stores, works in a basement or a rural site. |
| Web portals for office, clients and subcontractors | Anyone at a desk. No install, easy to update, works with e-signature. |
| Accounting API integration | When your accounting platform exposes job cost endpoints. Otherwise scheduled exports. |
| Cloud drive integration for drawings | When drawings already live in a shared drive; we link and version rather than migrate. |
| E-signature service | Change orders and client approvals that need a legally recognized signature. |
What drives the cost
We do not publish prices for this service because these factors move the number more than anything else. You get a written, fixed-scope quote after discovery.
- Offline field app scope and device mix
- Integration depth with estimating and accounting, and the quality of their APIs
- Number of roles and portals (office, field, subcontractor, client)
- Scheduling depth: milestones versus dependencies and resources
- Document and photo volume, and drawing versioning
- Number of forms and how often they change
Typical timelines
Ranges for the scope described on this page, not a promise for yours. The last column is what pushes a project to either end.
| Phase | Range | What moves it |
|---|---|---|
| Discovery and workflow mapping | 1 to 3 weeks | Number of project types and forms |
| First release: field app, change orders, client portal | 8 to 14 weeks | Offline scope and integration depth |
| Subcontractor portal, scheduling, reporting | 4 to 8 weeks per phase | Subcontractor count and reporting needs |
Risks we plan for
- Crews not adopting the app; we pilot with one crew and cut fields until it takes seconds to fill a log
- Change order disputes; every approval stores the scope, price and signature
- Photo storage costs growing fast; we compress and tier storage from the start
- Accounting integration breaking on a vendor update; the integration is isolated and monitored
- Provincial differences in lien, holdback and safety rules; your advisors confirm, the software records
Questions about construction management software development
Does the field app work with no signal?
Yes. Logs, photos and forms save on the device and upload when connected. Conflicts are resolved by timestamp and the office sees when the last sync happened.
Can you connect to our estimating or accounting software?
Usually yes, through the vendor API or scheduled exports. Job cost data flows from field and change orders into accounting; we keep the accounting platform as the source of truth for cost.
Do we need custom software, or would a field service platform do?
If a platform matches your forms and workflow, buy it and we will say so. Custom work pays when adoption has failed on generic apps, when change orders and client approvals need your own flow, or when subcontractor compliance gating matters.
Can clients see progress without calling?
Yes. The client portal shows milestones, photos, documents and pending approvals, which removes most status calls and keeps approvals in writing.
