What hospitality management software development includes, and what it does not
A fixed-scope quote only works when both sides agree on the edges. This is the usual split for this service; your quote states your own.
Included
- Direct booking engine for rooms, cabins, sites, tours or packages with live availability
- Integration with your property management system (PMS) and channel manager where the vendor allows
- Deposits, balances, refunds and pre-authorizations through your payment processor
- Guest messaging before arrival, during the stay and after checkout, in English and French
- Housekeeping and maintenance task boards that update from bookings
- Reporting on direct versus channel bookings, occupancy, cancellations and revenue per room or unit
Not included (or quoted separately)
- Replacing the PMS itself; it stays the system of record for rooms and folios
- Channel manager contracts and OTA account setup
- Door lock hardware; we integrate with lock vendors that offer an API
- Photography, copywriting and brand design, unless quoted with the project
- Revenue management advice; we build the reporting that supports it
How a hospitality management software project runs
- 1
Discovery
We map your inventory (rooms, sites, tours, add-ons), rate rules, deposit policy and the systems you run. We request API access from your PMS vendor on day one because that is the usual delay.
- 2
Written quote
A fixed-scope quote for the first release with a list of what is included and what is deferred to a later phase.
- 3
Design
Booking flow prototypes tested on a phone, since most direct bookings start there. We check the flow against your cancellation and deposit terms.
- 4
Build and integrate
Booking engine, payments and PMS sync are built and tested against sandbox accounts, then against a copy of real availability.
- 5
Launch
A soft launch on a subset of inventory, then the full switch. Front desk staff get a short guide and a test booking checklist.
- 6
Support
Monitoring, updates when the PMS or processor changes its API, and a support plan quoted in writing.
What you receive
- Source code and infrastructure configuration in your own accounts
- Booking engine, guest portal and staff tools deployed on Canadian hosting
- Integration documentation for the PMS, channel manager and processor
- Admin guide for rates, availability rules and messaging templates
- A test plan covering double-booking, refunds and no-show cases
Technology choices and when each fits
| Choice | When it fits |
|---|---|
| Web booking engine (responsive) | Almost always the first release. Guests do not install apps to book once. |
| Guest mobile app | Resorts and multi-property brands with repeat guests, mobile keys or on-site services worth an install. |
| PMS API integration | When your PMS exposes availability and folio endpoints. Two-way sync prevents double bookings. |
| Own inventory model | Tours, campsites, equipment and packages the PMS cannot represent. Rooms stay in the PMS. |
| Hosted payment fields | Always. Card data goes straight to the processor and stays out of your servers. |
What drives the cost
We do not publish prices for this service because these factors move the number more than anything else. You get a written, fixed-scope quote after discovery.
- PMS and channel manager integration depth and vendor API quality
- Inventory complexity: rooms only, or rooms plus sites, tours, equipment and packages
- Rate rules such as seasons, minimum stays, packages and dynamic pricing
- Bilingual content, emails and receipts
- Guest app scope and any lock or access-control integration
- Number of properties and brands
Typical timelines
Ranges for the scope described on this page, not a promise for yours. The last column is what pushes a project to either end.
| Phase | Range | What moves it |
|---|---|---|
| Discovery and vendor access | 1 to 3 weeks | How fast the PMS vendor grants API access |
| First release: booking, payments, messaging | 8 to 14 weeks | Inventory model and rate rule complexity |
| Guest app, housekeeping, reporting | 4 to 8 weeks per phase | Property count and integrations |
Risks we plan for
- Double bookings if the PMS sync is one-way or delayed; we test the sync under load before launch
- PMS vendors that change or restrict their API; we isolate the integration so it can be swapped
- Peak-season launches; we plan go-live for your low season
- Deposit disputes; every booking stores the terms the guest accepted
- French-language gaps for Quebec guests; translations are built in from the first release
Questions about hospitality management software development
Do you build hotel booking systems that connect to our PMS?
Yes, where the PMS offers an API. The PMS stays the system of record for rooms and folios; the booking engine reads availability and writes reservations. We confirm what your vendor allows during discovery and tell you plainly if only a one-way sync is possible.
Can the same system sell tours, campsites and packages?
Yes. We model non-room inventory in the booking engine with its own capacity and seasonal rates, while rooms stay in the PMS. This is the most common reason operators come to us instead of using the PMS booking widget.
Will it work for a single property?
It can, but for a single hotel the PMS booking engine is often good enough and we will say so. Custom work pays off when conversion, packages, non-room inventory or several properties are involved.
What about guest privacy?
Guest data is hosted in Canada, card data stays with the processor, and we list every third-party service that touches guest data. Quebec properties should complete a privacy impact assessment under Law 25; confirm with counsel.
