The challenge
Nonprofits run lean and lose time to manual donation, member, and volunteer tracking across tools that do not fit their needs.
We build donation, member, volunteer, and program software for nonprofits, so more of your time and budget goes to your mission instead of admin.
Who this nonprofits software development page is for
This page is for registered charities, nonprofit associations, community organizations, foundations and social enterprises in Canada. If you are searching for nonprofit software development or app development for nonprofits, the honest first question is whether you need custom software at all. Many organizations are better served by a donor CRM plus a good website, and we say so. Custom work makes sense for program delivery, member services or volunteer operations that no vendor models.
Systems nonprofits businesses already run, and what we connect to
Custom software rarely starts from nothing. These are the systems we usually find in place, and the integration approach we take with each.
- Donor CRMs and fundraising platforms for gifts, receipts and campaigns
- Payment processors for one-time and recurring donations
- Accounting software, including nonprofit-specific fund accounting
- Email and newsletter tools
- Event and ticketing platforms
- Volunteer scheduling tools and spreadsheets
Build, buy or connect: what usually makes sense in nonprofits
We recommend off-the-shelf software whenever it fits. Custom development earns its cost only where the row says so.
| Need | Off-the-shelf | Custom build |
|---|---|---|
| Donations, receipts and donor records | Buy. Donor CRMs handle receipting and campaigns well and are often discounted for charities. | Build integrations and a donor portal around the CRM only if the CRM portal is missing something specific. |
| Website | A well-built site on WordPress or similar is usually enough. | We build the website free for registered nonprofits and charities; you pay only hosting and a support plan, quoted first. See the offer page linked below. |
| Program delivery and case management | Generic case tools exist but rarely fit a specific program. | Usually the best return: intake, sessions, outcomes and funder reporting in one place. |
| Volunteer scheduling and member services | Works for standard shifts and memberships. | Build when roles, certifications, shifts and locations are complex, or members need their own portal. |
What a first release usually includes
We scope a first release that a real team can use within weeks, then add phases. For nonprofits projects that first release typically contains:
- Program intake and participant records with consent tracking
- Session or service logging by staff and volunteers, on a phone
- Volunteer sign-up, shifts and reminders
- Outcome and impact reporting in the format funders ask for
- Sync of donors and members with the CRM
What drives the cost
We do not publish prices because these drivers change the number more than anything else. Your quote is fixed-scope and written after discovery.
- Number of programs and how different their data is
- Funder reporting formats and how often they change
- Volunteer and member roles, certifications and permissions
- Integration with the donor CRM, accounting and email tools
- Accessibility to WCAG 2.0 AA, which many funders and provinces expect
- Ongoing support, since nonprofit staff turnover means documentation and training matter
Timelines for nonprofits software, and what moves them
Ranges below are typical for the scope described on this page. They are not a promise for your project; the right-hand column is what makes a project land at the short or long end.
| Phase | Typical range | What moves it |
|---|---|---|
| Discovery and program mapping | 1 to 3 weeks | How many programs and funders are in scope |
| First release (intake, logging, reporting) | 6 to 12 weeks | Program count and reporting complexity |
| Volunteer portal, member services | 4 to 8 weeks each | Role complexity and integration count |
Privacy and compliance in Canada
- Donor and participant data falls under PIPEDA or provincial laws. Quebec Law 25 applies to Quebec organizations, including privacy impact assessments for new systems.
- Registered charities must issue receipts that meet CRA requirements. Use your donor CRM or accounting platform for receipting; custom software should feed it, not replace it.
- Program data about vulnerable people needs strict access control and minimal collection. Funders may set additional rules in their agreements.
- Public-facing sites of larger organizations must meet WCAG 2.0 AA under AODA in Ontario. Confirm requirements with counsel and your funders.
This is general information, not legal advice. Laws and regulator guidance change; confirm your obligations with counsel and your regulator before launch.
Common mistakes we help you avoid
- Building a donation system when a donor CRM would do it better and cheaper
- Designing for the current coordinator rather than the next one, with no documentation
- Collecting more participant data than any report needs
- Launching without a support plan and then having nobody to call
Illustrative example
Illustrative example, not a client story: a community organization runs three programs with intake on paper and outcomes in spreadsheets, then spends weeks assembling funder reports. A custom program app captures intake with consent, lets staff log sessions from a phone, and produces each funder's report from the same data. Donors stay in the CRM, which the app reads from. Report preparation drops from weeks to hours.

Common nonprofits software questions
Do you build apps for nonprofits and charities?
Yes. We build program, member and volunteer apps for nonprofits across Canada. We also tell you when an app is not the right answer and a CRM plus a website will serve you better.
Is the free website offer real, and what does it include?
Yes. For registered nonprofits and charities we design and build the website at no charge. You pay only for hosting and a maintenance and support plan, quoted in writing before any work starts. The full terms are on the free website for nonprofits page.
What nonprofit software should we use for donations?
A donor CRM with built-in receipting. We will help you connect it to your website and any custom program tools, but we do not recommend building donation processing from scratch.
Can custom software help with funder reporting?
Yes, and it is often the strongest reason to build. When intake, sessions and outcomes are captured once, each funder report becomes a saved view instead of a spreadsheet project.
Do I own the software?
Yes. Everything we build is yours, documented and handed over with no lock-in. You receive the source code, the infrastructure setup and the documentation.
How do you quote?
After a short discovery we send a written, fixed-scope quote for the first release. Later phases are quoted separately so you only commit to what you need next. We do not publish prices because the drivers above change the number a lot.
