The challenge
Hospitality businesses hand over margin and guest data to booking platforms and juggle reservations across disconnected tools.
We build booking, guest, and management software for hotels, tour operators, and travel businesses, so you take direct bookings, keep guests happy, and rely less on third-party platforms.
Who this hospitality & travel software development page is for
This page is for independent hotels and inns, resorts, campgrounds and RV parks, tour and activity operators, vacation rental managers and travel agencies in Canada. The usual trigger is dependence on online travel agencies for bookings, or an operation (tours, campsites, multi-property rentals) that no property management system models well.
Systems hospitality & travel businesses already run, and what we connect to
Custom software rarely starts from nothing. These are the systems we usually find in place, and the integration approach we take with each.
- Property management systems (PMS) for rooms, rates and folios, connected by API
- Channel managers that sync availability to online travel agencies
- Payment processors for deposits, balances and refunds
- Point-of-sale systems for restaurants, spas and retail on site
- Door lock and access systems for mobile keys, where the vendor supports it
- Review, email and loyalty tools
Build, buy or connect: what usually makes sense in hospitality & travel
We recommend off-the-shelf software whenever it fits. Custom development earns its cost only where the row says so.
| Need | Off-the-shelf | Custom build |
|---|---|---|
| Room inventory, rates and folios | Buy. A PMS is the system of record for hotels. | Build the direct booking, guest and operations layers on top. |
| Direct booking engine | PMS booking engines work but are often slow and generic. | Build when conversion, packages, upsells and brand matter, or when you sell tours, sites or multi-property stays. |
| Tour, activity or campsite booking | Activity platforms charge commission and fit standard tours. | Build when capacity rules, equipment, guides or seasonal pricing are specific to you. |
| Guest app and messaging | Vendor guest apps exist at a per-room price. | Build when you want your own pre-arrival flow, requests, upsells and mobile key in one place. |
What a first release usually includes
We scope a first release that a real team can use within weeks, then add phases. For hospitality & travel projects that first release typically contains:
- Direct booking flow with live availability from the PMS or your own inventory
- Deposits, balances and refunds through your processor
- Pre-arrival messaging with check-in details and upsells
- Guest requests routed to housekeeping or front desk
- Reporting: direct versus channel bookings, conversion, cancellations
What drives the cost
We do not publish prices because these drivers change the number more than anything else. Your quote is fixed-scope and written after discovery.
- PMS and channel manager integration depth
- Inventory model: rooms only, or tours, sites, equipment and staff
- Rate rules: seasons, packages, length-of-stay and dynamic pricing
- Guest app scope, including mobile key integrations
- Multi-property or multi-brand setups
- Languages, since many Canadian operators need English and French
Timelines for hospitality & travel software, and what moves them
Ranges below are typical for the scope described on this page. They are not a promise for your project; the right-hand column is what makes a project land at the short or long end.
| Phase | Typical range | What moves it |
|---|---|---|
| Discovery and PMS access | 1 to 3 weeks | PMS vendor API approval |
| First release (booking engine, payments, messaging) | 8 to 14 weeks | Inventory model and rate rule complexity |
| Guest app, operations, loyalty | 4 to 8 weeks each | Integration count and property count |
Privacy and compliance in Canada
- Guest data, including ID details collected at check-in, is personal information under PIPEDA or provincial laws. Quebec Law 25 adds consent and privacy impact assessment duties for Quebec properties.
- Card data stays with the payment processor; pre-authorizations and deposits should use tokens, never stored numbers.
- Quebec has rules on serving consumers in French and on tourist accommodation registration; other provinces have their own accommodation and short-term rental rules. Confirm with counsel.
- Marketing email must follow CASL.
This is general information, not legal advice. Laws and regulator guidance change; confirm your obligations with counsel and your regulator before launch.
Common mistakes we help you avoid
- A booking engine that is not synced to the PMS, causing double bookings
- Collecting full card numbers by email or form for deposits
- Launching a guest app with features nobody at the front desk can respond to
- Ignoring French-language needs for Quebec guests
Illustrative example
Illustrative example, not a client story: a lakeside resort with cabins, a campground and boat rentals sells cabins through an OTA and everything else by phone. A custom booking engine models cabins, sites and rentals with their own capacity and seasonal rates, takes deposits, and syncs cabin availability with the PMS. Guests get pre-arrival messages with check-in details and add-ons. Direct bookings rise and phone time drops.

Common hospitality & travel software questions
Can you integrate with our PMS and channel manager?
Usually yes. Most modern PMS vendors have APIs; some older ones only offer exports. We confirm during discovery, and we keep the PMS as the system of record for rooms.
Do you build tour and activity booking software?
Yes. Capacity per departure, guides and equipment, seasonal pricing, waivers and deposits are typical scope, with a fast mobile checkout.
Can the booking site be bilingual?
Yes. We build with translation support from the start so English and French content, emails and receipts are managed in one place.
Do I own the software?
Yes. Everything we build is yours, documented and handed over with no lock-in. You receive the source code, the infrastructure setup and the documentation.
How do you quote?
After a short discovery we send a written, fixed-scope quote for the first release. Later phases are quoted separately so you only commit to what you need next. We do not publish prices because the drivers above change the number a lot.
